CCTV VIDEO SURVEILLANCE PRIVACY NOTICE AND POLICY
Effective date: November 1st 2026
Facility: Richlife Fitness, Unit 9, 7342 Industrial Way, Pemberton, British Columbia, V0N 2L0
Organization responsible for personal information: Richlife Fitness
Privacy Officer: Richard Sievewright (owner/head coach)
Privacy contact: richlifeheadcoach@gmail.com / 6049023507
1. Purpose of this policy
Richlife Fitness (“the Gym”) uses CCTV in designated areas of its fitness facility. This policy explains why surveillance is used, what information may be collected, how footage is accessed and protected, how long it is retained, and how individuals can make privacy inquiries or requests.
The Gym manages personal information in accordance with British Columbia's Personal Information Protection Act(PIPA) and other applicable law.
2. Why CCTV is used
The Gym uses live remote monitoring and recorded video for the following purposes:
Protecting the safety and security of members, visitors and property.
Monitoring facility access and investigating unauthorized entry or access sharing.
Detecting and investigating theft, vandalism, damage, unsafe conduct and security incidents.
Reviewing accidents, injuries and emergency events to support an appropriate response.
Investigating complaints and supporting insurance claims, legal proceedings or other lawful incident investigations.
Surveillance will not be used for unrelated purposes unless permitted by law and consistent with applicable privacy requirements.
3. What information is collected
CCTV may collect images of individuals entering, leaving or using designated areas of the facility, together with the date and time of the recording.
Depending on camera placement and system configuration, footage may show a person's movements, equipment use, interactions and activities within the monitored area.
The Gym does not intend to record audio unless it has separately assessed the need, confirmed a lawful basis and provided any required notice or obtained any required consent.
The Gym does not use facial recognition or biometric identification as part of this policy unless a separate lawful assessment, appropriate notice and any necessary consent or authorization have been completed.
4. Live monitoring and recording
Designated areas are monitored remotely by authorized personnel or an authorized monitoring provider. Video is also recorded and retained for a defined period.
Live monitoring does not guarantee continuous attention to every camera or immediate detection of an injury, medical emergency, unsafe activity or security incident. CCTV is not an emergency call system and does not replace appropriate safety procedures.
Members must use the posted emergency contact method and call 911 where appropriate.
5. Camera locations and privacy safeguards
Cameras are located only in designated areas where surveillance is reasonably necessary for the stated purposes (front door entrance, back door and mezzanine).
The Gym will not install cameras in washrooms, changing rooms or other areas where people reasonably expect a high degree of privacy.
Camera positioning, image quality, monitoring practices and recording settings will be reviewed to minimize unnecessary collection of personal information.
Cameras will not intentionally capture more of adjacent properties or public areas than reasonably necessary for the stated purposes.
6. Notice and transparency
The Gym will post clear CCTV signage at or before entry to monitored areas and provide members with this policy before or when their personal information is collected, as appropriate.
The signage will identify that video surveillance is in use, summarize its purpose, and provide contact information for privacy questions.
The Gym will explain the use of live remote monitoring and recording rather than implying that cameras are recording only or monitored continuously if that is not accurate.
7. Who can access footage
Access to live feeds and recorded footage is restricted to authorized individuals who need access for legitimate Gym purposes.
Authorized access may include designated management, the Privacy Officer, authorized security or monitoring personnel, and appropriately authorized service providers.
Footage may be disclosed to law enforcement, insurers, legal advisers or other parties where the disclosure is authorized or required by law and is appropriate for the relevant purpose.
The Gym will not permit unauthorized viewing, copying, downloading, sharing or publication of surveillance footage.
8. Storage and security
The Gym will use reasonable administrative, technical and physical safeguards to protect surveillance information against unauthorized access, use, disclosure, alteration, loss or destruction.
Safeguards may include restricted user accounts, strong authentication, access logs, secure storage, limited administrator privileges and appropriate contractual requirements for third-party providers.
If footage is stored or processed by a third-party or cloud provider, the Gym will assess the provider's security, access arrangements, retention and deletion practices, and any applicable cross-border privacy considerations.
9. Retention and deletion
Routine CCTV footage will be retained for 60 days, unless a longer period is reasonably required for a documented incident, complaint, insurance matter, legal claim or other lawful purpose.
Footage retained for an incident will be restricted to the relevant material and retained only for as long as reasonably necessary or legally required.
At the end of the applicable retention period, footage will be securely deleted or overwritten in accordance with the system's capabilities and the Gym's retention procedures, subject to any legal preservation requirements.
The Gym will periodically review its retention period to confirm that it remains necessary and proportionate to its purposes.
10. Requests for access to footage
An individual may contact the Privacy Officer to ask whether the Gym holds personal information about them or to request access to their personal information, subject to the requirements and exceptions under applicable law.
Requests should identify the approximate date, time and area of the recording and provide sufficient information to help locate the relevant footage.
Footage may include personal information about other individuals. The Gym will consider the privacy rights of those individuals and applicable legal requirements before providing access. Access may be limited, redacted or otherwise handled as permitted by law.
The Gym will respond to requests in accordance with applicable legal requirements and timelines.
11. Complaints and privacy inquiries
Questions, concerns or complaints about CCTV or the handling of personal information may be directed to:
Privacy Officer: Richard Sievewright (owner/head coach)

An individual may also contact the Office of the Information and Privacy Commissioner for British Columbia if they have concerns about the Gym's compliance with PIPA.
